Our lawful bases

We rely on one or more of the following lawful bases when using personal information.

Consent: Where you have actively agreed to receive communications, take part in optional evaluation activities, provide certain sensitive information or be included in identifiable photographs or recordings.

Contract: Where using your information is necessary to administer a booking, payment or agreement with you.

Legitimate interests: Where processing is reasonably necessary to operate our activities, respond to enquiries, evaluate projects, maintain records, improve our services or protect the organisation. We consider your rights and interests before relying on this basis.

Legal obligation: Where we must keep, use or disclose information to comply with the law.

Vital interests: In exceptional circumstances where information must be used to protect someone’s life or physical safety.

Where we process special category information, such as information about health or disability, we will normally rely on your explicit consent. In an emergency, we may use relevant information where necessary to protect someone’s vital interests.

Workshop and event bookings

When you book a workshop or activity, we will use your details to manage your booking and send you essential information. This may include:

  • booking confirmation;

  • reminders;

  • cancellations;

  • changes to the time or venue;

  • joining instructions; and

  • accessibility or participation information.

During the booking process, you can also choose to receive emails from Try New Things CIC about future workshops, activities, events and opportunities.

If you select this option, we will add your email address to our mailing list. You can unsubscribe at any time using the link in our emails or by contacting us.

Unsubscribing from future communications will not affect any workshop bookings you have already made. We may still contact you where necessary to administer an existing booking.

Some activities may be delivered with partner organisations or at partner venues. Where necessary, we may share limited booking or accessibility information with those partners so that the activity can be delivered safely.

We will not give a partner permission to use your information for its own marketing unless you have agreed to this separately.

Mailing list and future communications

If you subscribe through our website or choose to receive future communications while booking an activity, we may send you:

  • information about forthcoming workshops and events;

  • project and organisational news;

  • opportunities to participate in activities; and

  • occasional surveys or requests for feedback.

We rely on your consent to send these communications.

You can withdraw your consent at any time by:

  • selecting the unsubscribe link in one of our emails; or

  • contacting us at [insert privacy email address].

When someone unsubscribes, we may retain a minimal suppression record, such as their email address, to ensure we respect their request and do not add them to the mailing list again by mistake.

We do not sell or rent our mailing list.

Photographs video and audio recordings

We may take photographs or make video or audio recordings during some activities to:

  • document our work;

  • evaluate and report on funded projects;

  • promote our organisation and future activities;

  • publish content on our website or social media; and

  • create exhibitions, archives or project resources.

We will normally seek consent before using a recognisable photograph, video or recording focused on an individual.

General event or crowd photography may sometimes be undertaken where it is reasonably expected and where our legitimate interests do not override the rights of those attending. We will provide reasonable ways for you to tell us that you do not wish to be photographed or recorded.

You can withdraw consent for future use by contacting us. Withdrawal will not affect material used lawfully before consent was withdrawn.

We may be unable to recall printed materials that have already been distributed, but we will stop using the image in new materials where reasonably possible.

We will seek appropriate consent from a parent or guardian before using focused, identifiable images of children or young people.

Project monitoring and funders

Some activities are supported by external funding. We may collect attendance information, feedback and project outcomes to demonstrate how an activity has been delivered and the difference it has made.

Wherever possible, information provided to funders will be anonymised or presented as combined statistics.

We will only share identifiable information where this is necessary, lawful and explained to you.

Anonymised information that can no longer identify an individual is not personal data and may be retained for research, evaluation, historical and reporting purposes.

Children and young people

Where children or young people participate in our activities, we will only collect the information reasonably needed to manage their participation and safety.

Depending on the person’s age and the nature of the activity, we may seek consent or information from a parent or guardian.

We will not knowingly use children’s personal information for direct marketing without appropriate consent.

Our website may use cookies and similar technologies.

Essential cookies may be used where necessary for the website to function, maintain security or remember your privacy choices.

We will ask for your consent before using non-essential cookies, such as analytics or advertising cookies.

Some website, booking, email or cloud-service providers may store or process information outside the United Kingdom.

Where personal information is transferred internationally, we will take reasonable steps to ensure an appropriate legal safeguard is in place.

This may include UK adequacy regulations, approved contractual protections or another safeguard recognised under UK data protection law.

We only retain personal information for as long as it is reasonably needed.

  • Workshop booking and attendance information: Normally up to three years after the activity or project ends, or longer where required by a funder, insurer or legal obligation.

  • Financial and accounting records: Normally six years from the end of the relevant company financial year.

  • Photographs and recordings: Reviewed regularly and normally retained for no longer than five years, unless they have continuing archival or historical value.

  • Safeguarding, accident and incident records: Retained in accordance with our safeguarding, insurance and legal responsibilities.

  • Website technical records: Retained according to the settings of our website and security providers.

We may retain information for longer where this is required by law, a funding agreement, an ongoing complaint or a legal claim.

How we protect your information

We use reasonable organisational and technical measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure.

Access is restricted to people who need the information for their role. However, no website, email service or electronic storage system can be guaranteed to be completely secure.
